Providence is calling a Executive Administrative Assistant - General Administration (1.0 FTE, Days) to Providence Hood River Memorial Hospital in Hood River, OR

We are seeking a Executive Administrative Assistant - General Administration that will perform full and complex administrative and secretarial functions of a highly responsible and confidential nature to the higher-level executives. Positions in this category perform independent judgment and initiative on assignments that are sensitive in nature and demonstrated ability to interface with high level of internal and external contacts requiring considerable discretion and initiative. Incumbents use considerable judgment and initiative to determine the approach or action to take in non-routine situations.

In this position you will have the following responsibilities:

  • Provide full and complex administrative and secretarial functions of a highly responsible and confidential nature to the Vice Presidents, Chief Executive, Operations Administrator, Regional Director, or Assistant Administrator

  • Coordinate high-level administrative aspects of the office

  • Possibly do research background material and collect data for reports, speeches, and correspondence

  • Ability to work independently and function with minimum direction and supervision

  • Demonstrate high level of tact and integrity due to the level and number of internal and external contacts, and the constant exposure to highly confidential information

  • May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, human resources, facilities, and operations

  • Maintain and coordinate executive(s) calendar, schedule, travel arrangements

  • Possibly coordinate and review the work of subordinate clerical employees

  • Compose correspondence requiring knowledge of executive(s) views, philosophy, and some understanding of technical matters

  • Arrange for staff members to represent organization at conferences and meetings, establishes appointment priorities, or reschedules or refuses appointments or invitation

  • Interact positively and professionally with a wide variety of internal and external customers, exercising good judgment and discretion often in difficult or crisis situations

  • Take and transcribe dictation as appropriate

Qualifications:

Required qualifications for this position includes:

  • Coursework/Training: Two (2) years of college or business school training -OR- equivalent education/experience

  • Five (5) years In a position equal to executive or administrative secretary to include advanced computer skills and working knowledge of a variety of software programs and communication vehicle

  • Public relations or customer service-based experience

  • Evidence of written and oral communication skills

  • Ability to deal with highly sensitive and confidential matters
