We are seeking a Surgery Scheduling Specialist - Surgical Services that will be accountable for scheduling various complex Surgical and Medical procedures by obtaining appropriate surgical procedure, specialized equipment, and other specialized resources, implants and current/historical medical information (i.e., ICD9 Coding, Medical History, including allergies and Patient Demographic Profile). Complexity of this position is evidenced by the use of simple and complex medical terminology and enterprise scheduling protocols. Surgical Scheduling Specialist must also think independently and make relatively complex decisions in a fast-paced environment. Provides superior customer service and service recovery, utilizing good judgment that meets or exceeds the expectations of patients, visitors, physicians and Providence Health System staff. Surgical Services Scheduling Specialist is accountable for the efficient coordination of the operating schedule(s) including: preoperative scheduling of surgical and medical procedures and assisting the OR Manager, Assistant Nurse Manager, Surgery Lead, and Anesthesia Team Leader with daily facilitation of the schedule. Other duties are inclusive of patient charges and post case data into EPIC; assess, order and maintain unit office supplies. The Surgical Services Scheduling Specialist serves as the liaison and first contact of communication for the operating room; displays professional interpersonal skills and presence when communicating with physicians, staff and the public; as the front-line customer service representative, upholds and exhibits the core values in all communication.
In this position you will have the following responsibilities:
Schedule surgeries and other medical procedures according to approved guidelines including specialized blocks and group or individual physician blocked schedules
Obtain necessary info and advise appropriate departments for emergent add on cases as well as print off necessary paperwork
Verify credentialing status of physicians requesting reservations for their patients and appropriate identification of procedure for accurate resource map for proper utilization of resources
Understand and utilize all aspects of EPIC and EPIC reporting
Verify patient's full legal name, spelling and date of birth and accurately inputs all required information into EPIC
Obtain needed information from numerous sources including all medical floors, all referring physician offices
Courteously and professionally responding to multiple phone calls and requests that often occur simultaneously
Take surgery-scheduling requests from physician offices
Collect and schedule accurate information regarding surgical procedure scheduled, physician or patient special requirements, patient demographics to avoid duplicate errors, and/or refers call to appropriate person/department
Collaborate with surgical services OR manager, assistant nurse manager and surgery lead regarding scheduling, resource or staffing conflicts
Communicate changes in surgery schedule to appropriate departments i.e. SSU or other enterprise pathways scheduling departments, i.e. CVL, Pathology or Diagnostic imaging
Required qualifications for this position includes:
High School Diploma -OR- GED
Proficiency in the use of personal windows based computers
Preferred qualifications for this position includes:
Coursework/Training: Business or college courses
Coursework/Training: Completion of intermediate level medical terminology -OR- On the job equivalent history
Demonstrated outstanding customer service experience
Three (3) years of Medical office or hospital experience in surgery field
